Are you an organised and proactive administrator with proven Facilities Management (FM) Helpdesk experience? This is an exciting opportunity to join a friendly, supportive team in a varied role where you’ll be at the heart of coordinating maintenance services and delivering excellent customer support.
FM Helpdesk Coordinator – Job Overview
• Manage incoming calls and emails via the helpdesk, providing prompt, professional assistance to clients.
• Coordinate planned maintenance visits and reactive callouts with Contract Managers and Field Operatives.
• Issue and track PPM (Planned Preventative Maintenance) tasks, ensuring all works are completed within SLA timeframes.
• Organise specialist maintenance visits, liaising with engineers and contractors to ensure timely completion.
• Maintain accurate contract records and statutory compliance documentation.
• Review, approve, and issue maintenance invoices to clients on a monthly or quarterly basis.
• Manage contract renewals and update systems including Concept and Riskwise.
• Support compliance processes and maintain well-organised electronic filing for audits.
FM Helpdesk Coordinator – Skills & Experience Required
• Proven experience in an FM Helpdesk or similar customer-focused facilities role (essential).
• Excellent organisational skills and ability to prioritise tasks in a busy environment.
• Strong communication skills with a customer-first approach.
• Confident using IT systems, with accurate data entry and record-keeping abilities.
• Detail-oriented, proactive, and able to work well as part of a team.
